1. Who should be registered as the organisation in the EPD Portal?
According to the General Programme Instructions (GPI), the EPD owner is the organisation that holds the ownership, responsibility, and liability for the EPD. This means EPD ownership is always handled at the legal entity level, not at the corporate group level.
Group Structure Example:
Parent company: ABCD Holding Group
Subsidiaries:
- ABCD Europe Ltd.
- ABCD North America Inc.
- ABCD Asia Pte. Ltd.
If ABCD Europe Ltd. owns and publishes an EPD, the organisation registered in the EPD Portal should be ABCD Europe Ltd.
Likewise, if another EPD is owned by ABCD North America Inc., that EPD should be registered under ABCD North America Inc. Even though both companies belong to the same corporate group, they are separate legal entities and therefore separate EPD owners.
2. Can we register all EPDs under a parent company?
Yes, but only if the parent company is the legal EPD Owner. If EPDs are registered under the parent company’s Portal account, the EPD documents must also list the parent company as the EPD Owner.
It is not allowed to:
- Register an EPD under the parent company’s account
- While naming a subsidiary as the EPD Owner in the EPD document
3. Can multiple subsidiaries use the same Portal account?
In most cases, no.
Each Portal account must correspond to one legal entity, and that entity must match the EPD Owner in the document.
What this means:
- Each subsidiary that owns EPDs should have its own Portal account
- EPDs must be registered under the account of the correct legal entity
4. How can we manage EPDs across many subsidiaries?
If your organisation operates across multiple legal entities, you can use a Global Account.
A Global Account helps organisations manage multiple subsidiaries while still keeping correct legal ownership. It provides:
- Centralised administration
- Group pricing and discounts
- Flexible invoicing
- Easier coordination across entities
Important: A Global Account does not change the requirement that each EPD must be owned and registered by the correct legal entity.
5. Why is this structure required?
This setup ensures:
- Clear ownership and accountability
- Accurate company information in EPDs
- Correct invoicing and contracts
- Full traceability throughout the EPD lifecycle
6. What if ownership changes?
If ownership changes due to:
- mergers
- acquisitions
- restructuring
An ownership transfer may be possible after review and approval by the Secretariat.
